July-March 

22 weeks with 40 hours/week (Negotiable) 

$19/hour 

Archives Assistant Description and Requirements

All students hired must:

  • Be a Canadian citizen or permanent resident, or have refugee status in Canada (non-Canadians holding temporary work visas or awaiting permanent status are not eligible);
  • Be legally entitled to work in Canada;
  • Be between 16 and 30 years of age at the start of employment;
  • Be willing to commit to the full duration of the work assignment;
  • Not have another full-time (over 30 hours a week) job while employed with the program;
  • Be an unemployed or underemployed college or university graduate, who is not employed full time;
  • Be a recent graduate who has graduated from college or university within the last 24 months at the start of employment;
  • Not be receiving Employment Insurance (EI) benefits while employed with the program; and

Description of Duties:

  • Properly research, appraise, physically process, arrange, describe, store, and digitize files, and fonds at the item and series levels. Update existing finding aids and descriptions.
  • assemble, preserve and catalogue municipal, public and private historical records and archival materials (photographs, videos, sound recording)

    • Use Rules for Archival Description (RAD) standards to complete documentation, numbering, digital photography or scanning within a collection management database, while maintaining daily preservation techniques of light, humidity and pest management in Canadian Conservation Institute reviewed storage
    • Answer research enquiries
    • Make the archives accessible to a wide range of users
    • Produce teaching materials for school programs and local community groups using Archival materials

    Candidate Profile

    • University or College graduate completed an undergraduate.
    • While all Interns are encouraged to apply, preference will given to those with a field of study in related education: history, archives, Archives Institute, library studies, or records management.
    • Ability to problem-solve and show flexibility
    • Self-motivated, works well as a team member, and shows leadership skills
    • Clear communication skills through written English, detail oriented, and typing ability to document information in e.g. collections management database as well as creating reports and plans.
    • Familiarity with photographic/digitization equipment, as well as Microsoft programs such as Outlook, Excel, and Word and Google Suite
    • Ability to lift and move up to 20 kg to be able to retrieve and file archival material.
    • Supply a Police Record Check to work with the vulnerable sector of children/seniors.

    Description of Duties:

    • Interns main task will be completing curatorial research on objects in the collection.
    • Develop proposal and or vision boards for potential future exhibits.
    • Interns will assist with visitor tours, programs, research requests, and marketing.
    • Promote a professional image of the organization both onsite and virtually to other staff members, volunteers, community organizations and members of the public.

    Candidate Profile:

    • University or College student completed an undergraduate degree.
    • While all Interns are encouraged to apply, preference will be given to those with a field of study in related education: history, Museum studies, education or applicable.
    • Ability to problem solve and show flexibility
    • Self motivated and works well as a team member and show leadership skills
    • Clear communication skills through written English, detail orientated, and typing ability to document information as well as strong research skills
    • Familiarity with photographic and digitization equipment, as well as Microsoft programs
    • Ability to lift and move up to 20 kg
